Government contractors
Bookkeeping for small government contractors in DC, Maryland and Virginia
Federal, state and local contracts come with more paperwork than private work: separate cost tracking, certified payroll, and reports that have to hold up when someone asks. We keep small government contractors organized so you can focus on winning and delivering the work.

Books set up for contract work from day one
Government work rewards contractors whose books are organized by contract. We set up your chart of accounts and job structure so direct costs, indirect costs and unallowable costs are tracked separately, timesheets tie to contracts, and you can produce a cost report by contract or task order without rebuilding it in a spreadsheet.
That structure is also the groundwork you'll need as you grow into larger contracts with stricter accounting system requirements. Starting clean is much easier than fixing it later.
Certified payroll and prevailing wage support
Construction and service contracts covered by Davis-Bacon or the Service Contract Act require prevailing wages and weekly certified payroll reports. We help you set up wage rates and fringe benefits correctly in your payroll system, check that each worker is paid the right classification, and prepare WH-347 certified payroll reports (or the agency's own format) for you to sign and submit.
Reporting you can stand behind
Every month you get reconciled books, a profit and loss by contract, A/R aging by agency and a cash forecast. When a prime contractor, agency or lender asks for financial statements, they're ready. If you need reviewed or audited statements, we prepare a clean file for your outside accountant.
Invoicing and cash flow on government timelines
Government agencies and primes often pay on 30 to 60 day cycles, and an invoice with the wrong format can sit for weeks. We help you keep invoices accurate and on schedule, track what's outstanding by contract, and plan cash so payroll is covered while you wait.
FAQ
Common questions
Do you prepare certified payroll reports?
We prepare WH-347 certified payroll reports (or the agency's format) from your payroll records and check classifications and rates before you sign. You, as the contractor, sign and submit the statement of compliance.
Can you help us become DCAA-ready?
We set up your books with the structure an adequate accounting system needs: costs segregated by contract, direct and indirect costs separated, unallowable costs excluded and timekeeping tied to charges. For a formal pre-award survey or audit, we work alongside your outside advisors with a clean, organized file.
We're a small sub on federal contracts. Is this overkill for us?
No. Even small subcontractors benefit from tracking costs by contract and keeping payroll records in order. We scale the setup to the size of your business.
Which areas do you serve?
We're based in Burke, VA and work with government contractors throughout Northern Virginia, DC and Maryland, and remotely in other states.
